Privacy Policy

Effective date: October 14, 2026 · Version: 1.0

1. Introduction

Optfio ("we," "us," or "our") operates the Optfio web application and website at https://optfio.com (the "Service"). This Privacy Policy explains what information we collect through the Service, how we use it, and the choices you have regarding your information.

This policy applies to:

  • Visitors who browse the public website
  • Registered users who create an account and use the Optfio workspace
  • Individuals who submit messages through our Contact form
  • Subscribers who purchase a paid plan

2. Information We Collect

Account information: When you register, we collect your email address and a password (stored in hashed form by our authentication provider). If you sign in with Google, we receive your Google account email. You may optionally add your name and preferences (currency, timezone, date format) to your profile.

Workspace data: You create and store business records in your workspace, including platforms, content ideas, content calendar entries, production pipeline items, brand deals, contacts, analytics records, financial transactions, tool subscriptions, brand assets, media assets, and notes. This data is specific to your account and isolated from other users.

Contact form submissions: When you submit our Contact form, we collect your name, email address, reason for contact, subject, message, and any optional attachment you provide. Attachments are stored privately.

Payment and billing records: When you purchase a subscription, we record the transaction reference, product, amount, currency, subscription status, and buyer email. Payment card details are processed by our payment provider and are not stored in Optfio.

Usage and technical information: Our platform provider collects technical and usage data such as IP address, device type, browser type, and interaction events. We use analytics to understand how the Service is used and to improve it.

3. How We Use Your Information

  • To provide, maintain, and improve the Service
  • To authenticate your account and maintain security
  • To deliver subscription features based on your plan
  • To process payments and manage subscriptions
  • To respond to your support requests and inquiries
  • To send transactional emails such as subscription confirmations and contact form receipts
  • To monitor for abuse, fraud, and security issues
  • To meet legal obligations where applicable

4. How We Share Your Information

We share information with service providers that help us operate the Service:

  • Base44: Our hosting, database, authentication, backend, and email infrastructure provider. Base44 processes and stores your account information and workspace data.
  • Wix (branded as Base44 Payments): Our payment processing provider. Wix processes your payment card information for subscription charges. Optfio does not store full card details.
  • Google: If you use Google sign-in, Google authenticates your identity.
  • Gmail: If an administrator has configured email alert automations, scheduled emails are sent through a connected Gmail account.

These providers process information under their own terms and applicable law. We do not sell your personal information to third parties.

5. Payments and Subscriptions

Subscription payments are processed by Wix (Base44 Payments). Wix handles checkout, card collection, recurring billing, and payment security. Optfio receives transaction references and subscription status but does not store or transmit your full card details. Card details are handled solely by the payment provider under their security standards.

6. Data Retention and Deletion

Workspace data: You can delete individual records in the relevant modules. To request complete account and workspace removal, contact us through the Contact page. Automatic complete account removal is not currently available in Settings.

Billing records: Transaction and subscription records are retained for financial record-keeping purposes, even after account deletion, as required by applicable law.

Contact submissions: Contact form messages are retained until resolved and archived.

Backups: Our infrastructure provider may retain backups for a limited period. Deletion requests may take time to propagate through backup systems.

Account and uploads: Complete removal requires separate login-account removal, record deletion, and review of uploaded files and subscriptions. Deleting a record does not itself erase its uploaded file or revoke login access. We will not describe an incomplete removal as complete.

7. Security

We use reasonable safeguards to protect your information, including data isolation between accounts, private file storage for attachments, and reliance on our platform provider's security infrastructure. However, no system is perfectly secure, and we cannot guarantee the absolute security of your information.

8. Your Privacy Rights and Choices

You have the right to:

  • Access your workspace data through the application
  • Export your contacts to CSV from Settings
  • Delete individual workspace records or request complete account removal through our Contact page
  • Request information about how your data is handled
  • Contact us with privacy concerns at info@optfio.com

Applicable privacy laws may provide additional rights depending on your jurisdiction.

9. Cookies and Analytics

The Service uses browser storage to maintain your authentication session. We use analytics to understand usage patterns and improve the Service. We do not use advertising cookies or cross-context behavioral advertising.

10. Children

The Service is not directed to children under the age of 13 (or the applicable age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at info@optfio.com.

11. International Data Transfers

Your information is processed by our infrastructure provider, which may transfer and store data in regions different from your own. By using the Service, you acknowledge that your information may be processed in these regions.

12. Policy Updates

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date at the top of this page. We will notify users of significant changes through the application or by email where required.
